Getting started as a teacher Teacher
From a new account to your first finished lesson.
-
Create a teacher account
On the login screen choose Sign Up, then under I am a... pick Teacher. If you use Sign in with Apple or Google, you'll pick Teacher on the One last step screen. Your role is set at sign-up and can't be changed later.
-
Create your first class
On My Classes, tap +, enter a subject (like Piano) and a class name (like Tuesday Piano), then tap Create Class. StaveFlow creates an invite code for the class automatically.
-
Add your students
Open the class, tap + and choose Add Student. Enter their name and email and StaveFlow emails them an invite. They show as Pending until they join.
-
Share the invite code
Students (or their parents) enter the code in the app under Join a Class. You'll find the code any time by tapping the pencil next to the class name.
-
Schedule a lesson
Tap + in the class and choose Add Lesson. Pick the student, date and time, add notes if you like, and tap Save Lesson.
-
Write notes, award badges, mark it complete
After the lesson, open it to write notes, add photos or videos, and award badges. When you're ready, tap Mark Complete. That's when your student gets notified, so take your time on the notes first.
Classes Teacher
Create a class
- Go to the My Classes tab and tap + (top left).
- Enter a Subject (e.g. Piano) and a Class Name (e.g. Tuesday Piano). Both are required.
- Tap Create Class.
A unique invite code is generated automatically. You can't choose your own code.
Find a class's invite code, or rename a class
- Open the class and tap the pencil icon next to its name.
- The Invite Code is shown here (read-only), so you can copy it to share.
- Change the subject or class name if you need to, then tap Save Changes.
Change a class's icon, color or photo
Tap the class's icon on its card in My Classes and choose a new symbol, color or photo. Your students see the change right away.
Delete a class
- Open the class, tap + and choose Delete Class.
- Confirm with Delete.
Students Teacher
Add a student to a class
- Open the class, tap + and choose Add Student.
- Enter their name and email.
- Tap Add Student. StaveFlow emails them an invite, and the screen shows the class code to share.
The student appears on your roster with an orange Pending badge until they sign up and join. You can schedule lessons for them right away.
If you see "{Name} is already in this class," a student with the same name and email is already on the roster.
Resend, fix or cancel a pending invite
Press and hold a Pending student's row, then choose:
- Resend Invite sends the email again. You can resend about once every 5 minutes.
- Edit Email fixes a typo in their address.
- Cancel Invite removes the placeholder. The email you already sent will stop working, so you'd need to add them again.
Edit a student's name or photo
On the class roster, swipe right on the student's row and tap Edit or Photo.
A student's email can't be changed once they've joined the class. Students who belong to a family account don't have an editable email.
Remove a student: archive vs. delete
- On the class roster, swipe left on the student and tap Remove.
- Choose one of two options:
- Archive takes them off your active roster but keeps their lesson history visible to them, read-only. This is the right choice when a student stops lessons.
- Remove & delete all data permanently deletes everything associated with that student in the class.
Merge duplicate students
If the same student ended up on your roster twice (for example a pending invite and the account they actually signed up with), you can combine them.
- Press and hold one of the rows and tap Merge with…. The class needs at least two students.
- The top of the screen shows how many lessons and repertoire pieces will move.
- Pick the student to merge into, then confirm with Merge.
All lessons, repertoire and events move to the student you picked. If one of the two is a pending placeholder, StaveFlow always merges it into the real account, whichever row you started from. Both students must be in the same class.
Search and sort your roster
Inside a class, tap the search icon to find a student by name or email, and use the sort toggle to switch between A to Z and Z to A.
What the roster icons mean
- An orange Pending badge means the student hasn't joined yet.
- "Family account" under a name means a parent manages that student's profile.
- A lock icon means the student's subscription has expired. They can still view their history but can't use the class fully until they resubscribe.
Move unassigned lessons or pieces to a student
- Open the class, tap + and choose Unassigned Items.
- For each lesson or piece, tap Move to Student and pick who it belongs to.
- Tap Done.
Lessons Teacher
Schedule a lesson
- In a class, tap + and choose Add Lesson. Or open a student's Lessons tab and tap +.
- Pick the student (or Unassigned) and the class.
- Set the date and time.
- Optionally tap Tap to add notes… to write notes and add a resource link.
- Tap Save Lesson.
Each lesson is scheduled individually. There's no repeating-lesson option yet.
Write lesson notes
Open a lesson and tap Edit Notes. The notes editor supports bold, italic, underline, larger or smaller text, and five colors (black, red, blue, green and purple).
Notes save automatically a moment after you stop typing. Done saves one last time; Cancel discards unsaved changes.
Add a resource link
Add a link (a video, a backing track, a website) in the Resource Link section of a lesson, or when creating or editing it. Your student can tap Open Link to follow it.
Add photos, videos or a drawn staff
In a lesson's Photos & Videos section:
- Add Photo/Video picks from your photo library.
- Camera takes a photo or records a video right in the app.
- Add Staff opens a blank music staff you can draw on. It's saved as an image, and you can reopen it later with the pencil icon on its thumbnail. On iPhone, drawing on a staff works in landscape only.
Tap a thumbnail's caption to rename it. Files can be up to 200 MB.
Mark a lesson complete
Tap Mark Complete in the lesson. Your student (and their family) gets a notification that notes and badges are ready to review. They aren't notified before that, so write your notes first. Tap Mark Incomplete to undo.
Change a lesson's date, time or student
Open the lesson, tap Edit, make your changes and tap Save Changes. Notes are edited separately with Edit Notes, so their formatting is preserved.
Delete a lesson
Swipe left on the lesson in the list, or open it and tap Delete.
Sort lessons
On a student's Lessons tab, tap the Sort pill to switch between Newest First and Oldest First.
Repertoire and sheet music Teacher
Add a piece and its sheet music
- Open the Repertoire tab and tap +.
- Enter the title, composer, and an optional note, and pick a status: Learning, Polishing or Mastered.
- Add the music with Scan Sheet Music (uses the camera), Choose Photos, or Choose PDF.
- Tap Save Piece.
For a piece with several pages, choose the photos in page order, page 1 first (up to 20). StaveFlow combines them into one PDF.
Draw on sheet music
- Tap a piece to open it full screen.
- Tap the pencil icon to start drawing.
- Use the tool picker to switch between pen, marker, highlighter, eraser, lasso and ruler, and to change color.
- Draw with your finger or Apple Pencil.
Your markings save automatically and appear on your student's copy live, even if they already have it open. Tap Save any time to save immediately; you'll see "Saved!" when it's done. Markings resize correctly between iPhone and iPad, and the original sheet music file is never changed.
Bookmark pieces in a book
Working from a book with many pieces? Bookmark the ones your student is practicing so you can both jump straight to them.
- Open the sheet music and go to the first page of the piece.
- Tap the bookmark icon (top left), then +.
- Give it a name like "Piece #5 – Minuet in G" and tap Save. If you leave it blank, it's named after the page number.
To rename or delete a bookmark, swipe left on it or press and hold. Your student sees bookmarks right away. Bookmarks appear on files with more than one page.
Edit a piece's title, composer or status
Open the piece, tap ···, then Edit Piece Info. Change what you need and tap Save Changes. To use a different sheet music file, add the piece again.
Print or share sheet music
Open the piece and tap the share icon to AirPrint it, save it, or send it.
Delete a piece
Swipe left on the piece in the Repertoire list, or open it and tap ··· then Delete Piece.
Events and badges Teacher
Create an exam, concert or event
- Go to the Events tab and tap +.
- Enter a title and choose a type: Exam, Concert or Event.
- Set the date and time, and optionally a location and notes.
- Under Assign Students, tap each student who should see it. You can pick students from any of your classes, or add them later.
- Tap Create Event.
Edit or delete an event
To edit, open the event, tap Edit, then Save Changes. To delete, swipe left on it in the Events list.
Award a badge
- Open a lesson and scroll to Badges.
- Swipe through the badge strip and tap a badge to award it. A green checkmark appears.
- Tap it again to take it back.
There's no limit; award any badge as often as you like. Your student gets a notification when they receive a new one.
Your subscription Teacher
Subscribe or manage your plan
Tap your avatar (top right), then Subscribe, Resubscribe or Manage Subscription, depending on your plan. Choose a monthly or yearly plan.
Cancel your subscription
Subscriptions are handled by Apple. Tap your avatar, then Manage Subscription, which opens Apple's subscription screen where you can cancel. You can also go to Settings › your name › Subscriptions on your iPhone or iPad.
What happens if my subscription lapses?
You won't be able to add new lessons or repertoire until you resubscribe, and you'll see a banner in the app saying so. Everything you've already created stays visible to your students.
Actions you can't undo Teacher
StaveFlow asks you to confirm these, but once confirmed there's no way to get the data back.
- Delete Class removes the roster, all lessons and all repertoire together.
- Remove & delete all data for a student. Choose Archive instead if you might want their history later.
- Merge Students moves everything into one student and removes the other.
- Delete a lesson, event or piece. Deleting a piece also removes its bookmarks.
- Remove a photo or video from a lesson. Media is also removed automatically after 30 days.
- Delete a bookmark happens immediately, with no confirmation.
- Cancel Invite makes the invite email you already sent stop working.
- Delete Account permanently deletes your account and every class, roster, lesson, piece and event you own.
Getting started as a student or parent Student
You'll need an invite code from your teacher.
-
Create a student account
On the login screen choose Sign Up, then under I am a... pick Student. Parents choose Student too, then add their children as family members. If you use Sign in with Apple or Google, you'll choose on the One last step screen.
-
Parents: add your children
Tap your avatar, then Family, then +. Add each child's name and photo. One account and one subscription cover the whole family.
-
Get the invite code
Ask your teacher for the class invite code. It looks something like ABC123.
-
Join the class
On My Classes, tap + and enter the code. If you manage family members, use Joining as to choose which child is enrolling, then confirm.
-
Follow along
Open the class to read lesson notes, see your sheet music, check upcoming events and collect badges. You'll get a notification when your teacher finishes a lesson's notes.
Joining and leaving classes Student
Join a class with an invite code
- On My Classes, tap + (or Join a Class).
- Enter the invite code from your teacher.
- If you have family members, tap Joining as and choose who is joining.
- Confirm. The class appears on My Classes.
If StaveFlow asks "Which invite is for [name]?", your teacher has more than one pending invite that could match. Choose the one with the right name, or None of these.
Leave a class
Press and hold the class card and tap Leave Class, then confirm. Your teacher keeps your lesson history on file. To come back later, you'll need the invite code again.
What are Past Classes?
Classes you've left, or that your teacher has archived, move to Past Classes at the bottom of My Classes. You can still open them to read lesson notes, see your badges and view your sheet music.
Family profiles Student
One login can manage several students. Each has their own classes, lessons and badges, kept completely separate.
Add a family member
- Tap your avatar, then Family, then +.
- Enter their name and, if you like, add a photo.
- Tap Add Family Member.
Then switch to their profile and join their class with the invite code, or use the Joining as picker on the join screen. Family members never receive invite emails, since you added them yourself.
Switch between profiles
Tap your avatar, then Family, and tap a name. A checkmark shows who's active. Your own profile is labeled You. Switching only changes what you see on this device.
Edit or remove a family member
On the Family screen, tap a family member to edit their name or photo. To remove them, swipe left and tap Remove.
Removing a profile takes it off your account; any lesson history your teacher has stays on their side. If you remove the profile you're currently using, StaveFlow switches back to you.
Lessons, sheet music and events Student
Read your lesson notes
Tap your class, then the Lessons tab, then a lesson. You'll see your teacher's notes, the badges you earned, any photos or videos, and a resource link if your teacher added one.
You'll get a notification when your teacher marks a lesson complete. That's the best time to look.
Save lesson photos and videos
Open the photo or video in a lesson and save it to your Photos. If StaveFlow asks for Photos access, allow it, or turn it on later in Settings › StaveFlow.
Open your sheet music
Tap your class, then the Repertoire tab, then a piece. Swipe to turn pages. Your teacher's markings appear on the music and update live.
Each piece shows its status: Learning, Polishing or Mastered.
Jump to a piece with bookmarks
If your teacher bookmarked pieces in a book, open the sheet music, tap the bookmark icon (top left), and tap a piece to jump straight to it. Only your teacher can add or change bookmarks.
Print or save your sheet music
Open the piece and tap the share icon. From there you can AirPrint it, save it to Files, or send it.
Why can't I draw on my sheet music?
Drawing and annotating is a teacher tool, so students don't have a pencil button. You'll always see your teacher's latest markings. If you'd like to mark up a copy yourself, use the share icon to print it.
See your upcoming exams and concerts
Open the Events tab. You'll see the exams, concerts and events your teacher assigned to you (or to the family member you've switched to). Tap one for the date, location and details.
Exams are shown in red, concerts in purple, and other events in blue.
Badges Student
How do I earn badges?
Badges are rewards from your teacher for great work, like finishing a piece, practicing well or reaching a goal. Your teacher awards them after a lesson, and you'll get a notification when you receive a new one.
See all your badges
Open My Badges, or tap See all in a lesson's badges. Your newest badges are at the top. Tap one to see it bigger, along with when you earned it and which teacher awarded it. Drag your finger across it to make it tilt and shine.
For families: switch to each child's profile to see their own badges.
A badge I earned is missing
Pull down on the My Badges page to refresh. If it still isn't there, check you're on the right family profile, then ask your teacher to make sure it was awarded to you.
Your subscription Student
Free trial and plans
New accounts may be eligible for a free trial; check the offer on the subscribe screen. To subscribe, tap your avatar, then View Plans, and choose monthly or yearly. The yearly plan works out cheaper per month.
Does one subscription cover my whole family?
Yes. One subscription covers every family member on your account.
What happens if my trial or subscription ends?
Your classes become view-only. You can still read past lessons and view your music, but you'll see a lock on your classes until you subscribe again.
Cancel your subscription
Subscriptions are handled by Apple. Tap your avatar and manage your plan from the menu, which opens Apple's subscription screen. You can also go to Settings › your name › Subscriptions on your iPhone or iPad.
Practice tools
Use the metronome
Open the Practice tab in the middle of the bottom bar, between Classes and Events. Set the tempo and time signature, then tap play. Your teacher will tell you which tempo to practice each piece at.
Use the tuner
The tuner is also in the Practice tab. Allow microphone access when asked, then play one note at a time. The tuner shows which note it hears and whether you're sharp, flat or in tune.
For the steadiest reading, tune in a quiet room and hold each note for a moment.
Use the metronome while reading sheet music
Open a piece full screen and turn on the metronome bar, so you can practice without leaving the music. StaveFlow remembers the last tempo and time signature you used for each piece on this device, and it won't change the tempo you've set in the Practice tab.
Your account and profile
Ways to sign in
You can sign in with email and password, Sign in with Apple, or Sign in with Google. Always use the same method you signed up with; each one is a separate login.
Reset a forgotten password
- On the login screen, type your email address.
- Tap Forgot password? (it becomes tappable once an email is entered).
- Check your inbox, including spam, for the reset link.
Reset links expire. If yours has, request a new one. Password reset only applies to email accounts; Apple and Google sign-ins are managed by those services.
Change your name, photo or app color
- Tap your avatar in the top right of the home screen.
- Update Your Name, tap Take Photo or Choose from Library for your photo, and tap a color under Background to change the app's theme.
- Tap Save Changes.
Can I change my email, password or role?
Not in the app right now. Your email and your role (teacher or student) are set when you create your account. If you need one changed, email us and we'll help.
Sign out
Tap your avatar and choose Sign Out. You're signed out immediately.
Delete your account
- Tap your avatar to open your profile.
- Scroll to Danger Zone and tap Delete Account.
- Confirm twice: Continue, then Delete Everything.
For teachers, this deletes your account and every class, roster, lesson, piece and event you own. For students and parents, it deletes your account; your teacher keeps your lesson history.
Devices, syncing and notifications
Can I use StaveFlow on iPhone and iPad?
Yes. StaveFlow works on both and everything syncs in real time. Start a lesson note on one device and pick up where you left off on another. Sheet music markings resize to fit whichever screen you open them on.
The one difference: on iPhone, drawing on a blank staff works in landscape only. Turn your phone sideways when prompted. iPad works in any orientation.
Can I use StaveFlow offline?
Partly. Sheet music, lesson photos and lesson videos are saved on your device the first time you open them online, so you can open them again without internet. For videos, play them once while online.
Anything you haven't opened yet needs a connection the first time. Lesson photos and videos are still removed after 30 days, on your device as well as online. If your device runs very low on storage, iOS may clear saved files; they'll download again next time you're online.
When will I get notifications?
Students and families are notified when a teacher marks a lesson complete and when they receive a new badge. StaveFlow doesn't currently send reminders before upcoming lessons or events.
Not getting notifications? Check Settings › Notifications › StaveFlow on your device.
Does StaveFlow sync with Apple Calendar?
Not yet. Lessons and events are shown as lists inside the app, in date order.
What's the difference between a lesson and an event?
A lesson is for one student in one class, and has notes, badges, media, a resource link and a complete/incomplete status. An event (an exam, concert or other event) can include many students from different classes, and has a date, location and notes.
Why does StaveFlow ask for camera, microphone or Photos access?
- Camera: to scan sheet music and take lesson photos and videos.
- Microphone: to record sound in lesson videos and to hear your instrument in the tuner.
- Photos: to add images and videos to lessons, and to save lesson media to your device.
If you said no and changed your mind, go to Settings › StaveFlow on your device and turn access on.
Troubleshooting
Seeing a message in the app? Find it below.
"Invalid email or password"
Check for typos, and make sure you're using the same sign-in method you signed up with (email, Apple or Google). If you've forgotten your password, use Forgot password?.
"An account with this email already exists"
You already have an account. Switch to Sign In instead of Sign Up.
"This account is already linked to another sign-in method"
This email was registered with a different method. Try signing in with email and password, Apple, or Google, whichever you used originally.
"Password is too weak"
Use a password with at least 6 characters.
"Too many attempts"
Wait a few minutes before trying again. This protects your account.
"This link has expired"
Password reset links only work for a limited time. Go back to the login screen and tap Forgot password? again.
"No internet connection" or "Can't connect"
Check that Wi-Fi or mobile data is on, then tap Try Again.
Sheet music and lesson media you've already opened still work offline. See Can I use StaveFlow offline?
"This account has been disabled" or "profile setup failed"
Email us at staveflowsupport@gmail.com from the address on your account and we'll sort it out.
My invite code doesn't work
Check the code with your teacher, letter for letter. Make sure you signed up as a Student, since teacher accounts don't join classes. If your teacher cancelled your invite, ask them to add you again.
My student never got the invite email
Ask them to check spam. Then press and hold their Pending row and choose Edit Email to check the address, or Resend Invite. They can also join directly with the class invite code.
"File Too Large"
Lesson files can be up to 200 MB. Choose a smaller file, or trim the video in the Photos app first.
"Please allow Photos access in Settings"
Go to Settings › StaveFlow › Photos on your device and allow access, then try saving again.
"Save failed" on sheet music
Check your connection and tap Save again. Your markings stay on screen while you retry.
"No active subscription found on this Apple ID"
Make sure you're signed in to the same Apple ID you subscribed with (Settings › your name), then tap Restore Purchases again.
Lesson photos or videos disappeared
Lesson photos and videos are deleted automatically 30 days after they're uploaded. Sheet music is kept permanently. Save media you want to keep to your device.
A bookmark shows "not in this file"
The page it pointed to no longer exists in the sheet music. Teachers can delete it and create a new bookmark on the right page.
